Everything you need to run your season smoothly—from scheduling fixtures to running your first player evaluations.
How to add your fixtures or events
Every match and training session is an event on SHOT Clubhouse. Events create the schedule for parents, trigger RSVP attendance, and link directly to your weekly development framework.
- In the app, tap PERFORM in the bottom navigation (or tap Schedule event under Quick Actions on Home).
- Select your team and tap Add Event.
- Choose Match or Training, and set the date, kick-off time, and pitch location.
- The evaluation framework week is calculated automatically based on your season calendar.
- Tap Publish. All rostered coaches, players, and parents immediately see the event in their schedule and can confirm attendance.
Pro tip: If you enabled weekly training or imported fixtures from FA Full-Time during this wizard, your upcoming events are already scheduled and waiting for you in the app!
How to invite your players
You can invite new players or replacement squad members at any point during the season.
- Open your team in the app and tap Invite Players to generate a fresh link or 8-character join code.
- Share the code or message via WhatsApp, SMS, or email with the player or their parents.
- For athletes under 13: Parents must create a free Sport Head account and register their child on their behalf for safeguarding.
- For athletes 14+ and adults: Players can download the app and join directly using the code.
- Check your team's Active Athletes list in the app to confirm when players have joined.
Safeguarding first: Under-18 codes expire automatically after 30 days to protect your team groups. You can regenerate a new code anytime in Team Settings.
How to run an evaluation
Evaluations are how athlete development is tracked over time. They connect directly to your chosen framework across the 5 core development pillars: Technical, Tactical, Physical, Psychological, and Social.
- Pre-Session Check-in (Prepare): Before training or a match, athletes take 1 minute to reflect on their focus and mindset for the session.
- Post-Session Reflection (Reflect): After the whistle, athletes reflect on their effort, learning, and enjoyment.
- Coach Feedback: Open the event in your app dashboard and tap Coach Feedback. Rate your players on the week's focal areas using guided 1–5 rubrics.
- Add an optional coach note or next step. Scoring takes under 2 minutes per player and builds a verifiable development passport for each athlete across the season.
Start at your own pace: You can start with just Coach Feedback, or turn on player self-evaluations whenever your squad is ready.
Frequently Asked Questions
Do parents need their own account?
Yes. Under safeguarding standards, parents of youth athletes (under 13) create their own verified Sport Head account and register their child. Parents can RSVP to events, communicate with coaches, and view their child's development progress.
What happens when an invite code expires?
Coach links last 90 days, and youth athlete codes last 30 days. If a code expires before someone joins, simply open your team in the app, tap Invite Players or Add Coach, and generate a new code in one tap.
Can we change our framework or build our own?
Yes! You can switch between standard frameworks (Play, Foundation, Development, Academy, Pro) or create a custom club framework at any time inside your team settings in the app.
Can one coach manage multiple teams?
Yes. Coaches use a single Sport Head account and can switch seamlessly between all their clubs and teams without logging in and out.
How do matchday RSVPs and attendance work?
When an event is published, parents and players receive an in-app notification. They can tap "Attending", "Unavailable", or "Tentative". On session day, coaches can record pitch attendance with one tap.
