Getting started

Where do I download the SHOT Clubhouse app?

SHOT Clubhouse is available on iOS (App Store) and Android (Google Play). Search "SHOT Clubhouse" in your device's app store, or visit shotclubhouse.com/download for direct links.

Do I need to pay to use SHOT Clubhouse?

Visit shotclubhouse.com/pricing for current plan details. Some features are available on a free tier; full access to evaluations and coaching tools requires a club subscription.

I was invited by a coach. How do I join?

Your coach should have shared a link with you — either via WhatsApp, email, or another group message. Tap the link, download the app if you haven't already, and create an account or sign in. You will be added to the team automatically once you accept.

If you received a magic link (a personal login link by email), tap it directly. It will log you straight into the app without needing a password.

What is the difference between a club and a team?

A club is the top-level organisation — for example, "Isleham United Youth FC". A team sits inside the club — for example, "Skylarks U9s" or "Brampton Spartans". One club can hold multiple teams, each with its own squad, coach, and framework.

Can I be in more than one team?

Yes. Your SHOT Clubhouse account can be linked to multiple teams. Each team appears separately in your CLUBHOUSE tab. Your Sport Head (your identity and history) is shared across all of them.

Accounts and profiles

What is my Sport Head?

Your Sport Head is your identity on SHOT Clubhouse — the profile that clubs, coaches, and teams see when you participate. It includes your name, photo, sport, role (athlete, coach, parent, or admin), and your development history across all teams you belong to.

Access it by tapping the globe icon in the top-right corner of the app.

How do I change my name or photo?

Tap the globe icon in the top-right corner of the app to open your Sport Head profile. From there you can edit your name, profile photo, and other personal details.

I forgot my password. How do I get back in?

On the sign-in screen, tap Forgot password. You will receive an email with a reset link. If you originally signed in via a magic link (without a password), use the same email to request a new magic link.

Can I use the same account as a coach and a parent?

Yes. If you are both a coach for one team and a parent for another, your single account can hold both roles. The app shows you the relevant view depending on which team you are looking at.

Clubs and teams

How do I invite athletes to my team?

From your team admin screen, tap Invite Players. This generates a shareable link. Send it via WhatsApp, email, or your group messaging platform. When an athlete or parent follows the link, they are added to your Active Athletes list once they have created their Sport Head and entered the join code.

How do I add an assistant coach?

From your team admin screen, tap Add Coach. Share the generated link with the coach you want to add. Once they accept, they can view the squad, create events, and complete Coach Feedback evaluations.

Can a coach manage multiple teams?

Yes. A coach account can be linked to as many teams as needed. Each team appears separately and the coach can switch between them.

How do I remove an athlete from my team?

From your team admin screen, tap the athlete's name. You will find a remove or archive option in their profile. Removed athletes no longer appear in the Active Athletes list or receive future event notifications from that team. Their historical evaluation data is retained.

Can I change the team name or framework mid-season?

Team names can be changed at any time from the team settings screen. Changing a framework mid-season will affect the weekly questions for future events. Past evaluations are not affected. If you need to change framework, consider waiting until the end of a phase to avoid breaking the progression.

Frameworks and evaluations

Which framework should I choose for my team?

Play 2025 — best for young athletes (under-9s, under-11s) or any group where enjoyment and fundamentals come first.

Foundation 2025 — for athletes who have basic skills and are ready to develop more structured competencies. Good for under-13s through to recreational adult teams.

Development 2025 — for competitive athletes working on tactical mastery. Includes position-specific questions each week.

If in doubt, start with Play or Foundation. You can move up later.

What are the five evaluation categories?

Every evaluation question maps to one of five development categories:

Technical — ball skills, positioning, game craft.

Physical — strength, movement, stamina.

Psychological — mindset, resilience, confidence.

Social — teamwork, communication, respect for teammates.

Personal — effort, attitude, taking responsibility.

What is the difference between Pre-Eval, Post-Eval, and Coach Feedback?

Pre-Eval (Prep) — the athlete rates themselves before the event. Helps set focus and intention going into a session or match. Completed by the athlete.

Post-Eval (Reflect) — the athlete reflects on how the event went. Builds self-awareness over the season. Completed by the athlete.

Coach Feedback — the coach evaluates each athlete individually after the event. The result is visible to the athlete (and parent, for under-18s). Completed by the coach.

Do I have to use all three evaluation types?

No. When setting up your team, you choose which types to enable. Many coaches start with Coach Feedback only and introduce Pre-Eval and Post-Eval once the team is comfortable with the platform. All three can be toggled on or off from the team settings at any time.

How is an athlete's average score calculated?

The average score shown on an athlete's dashboard is a rolling average across all completed Coach Feedback evaluations for that athlete within the current period. Scores are rated out of 5. It is visible to the athlete and their coach.

What happens if an athlete misses an event? Do they still get evaluated?

If an athlete did not attend, the coach marks them as absent on the event dashboard. Absent athletes are not included in the Coach Feedback for that event. Pre-Eval and Post-Eval are also skipped. Missed events are recorded in the athlete's history but do not count against their average score.

Can athletes see what other athletes scored?

No. Each athlete can only see their own evaluation results. Coaches can see all athletes' evaluations on the event dashboard. No cross-athlete scores are visible to other athletes.

Parents and safeguarding

My child is under 13. How does this work?

Athletes under 13 do not have their own login. You (the parent) create and manage the account using your own email address. Your child's profile is set up within your account. You receive event information, can confirm attendance, and can view coach feedback on your child's behalf.

The coach will share an invite link with you directly — not with your child.

My child is 13 to 18. What access do they have?

Athletes aged 13–18 can have their own account with their own login. They manage their own profile and complete their own evaluations. As a parent, you can be linked to their account so you receive the same event information and can see coach feedback. Ask your coach to set up the parent link.

Can my child's coach see my personal contact information?

Coaches can see the names of athletes and parents within their team, and can contact you through the SHOT Clubhouse platform. Your direct personal contact details (phone number, personal email) are not shared with coaches unless you choose to provide them separately outside the app.

Who can see my child's evaluation scores?

For athletes under 13: the parent and the team's coaches. For athletes 13-18: the athlete themselves, parents (if linked), and coaches. Athletes cannot see each other's scores.

How do I update consent or data settings for my child?

Account and data settings are managed from your profile in the app. Tap the globe icon, then go to Account Settings. If you need to request data deletion or have a specific data query, contact us at [email protected].

Technical

The app is not loading. What should I do?

First, check your internet connection. Then try closing the app fully and reopening it. If the problem continues, check the App Store or Google Play for any pending updates and install them. If none of this helps, contact us and include your device type and what you were trying to do when the problem occurred.

I'm not getting notification emails from SHOT Clubhouse.

Check your spam or junk folder. Our emails come from @shotclubhouse.com — add this domain to your safe senders list. If you still are not receiving emails, check that the email address on your account is correct by tapping the globe icon and reviewing your profile settings.

My magic link says it has expired. What do I do?

Magic links expire after 7 days. If yours has expired, ask your coach to re-send the invite link, or contact us at [email protected] and we will issue a new one.

Is SHOT Clubhouse available on desktop / web?

The primary experience is the mobile app (iOS and Android). A browser-accessible version is on the roadmap. Some admin functions may be accessible via app.shotclubhouse.com on desktop — check for any updates on this in the roadmap.
