Safeguarding
Safeguarding on SHOT Clubhouse
Access levels and data visibility on SHOT Clubhouse are determined by age. Under-13s are parent-managed. Teens from 13 to 18 have their own account with optional parent visibility. Adults have full independent access.
Age group overview
SHOT Clubhouse separates account access into three age groups. The rules below are how the platform is designed — they apply to all users regardless of individual club preferences.
Parent-managed
The parent holds and controls the account. The child does not have their own login.
Shared access
The athlete has their own account. A parent can be linked to see events and feedback.
Independent
Full independent access. No parent link available.
Under 13 — parent-managed
ParentAthletes under 13 do not have their own SHOT Clubhouse login. The account belongs to the parent or guardian. All app activity — joining a team, completing evaluations, viewing coach feedback — happens through the parent's account.
How to set up an under-13 account
13 to 18 — shared access
Athlete ParentAthletes aged 13 to 18 have their own SHOT Clubhouse account, with their own login. They join teams independently, complete their own evaluations, and view their own coach feedback.
A parent can be linked to the account to receive the same event notifications and view coach feedback — but the athlete retains control. The parent cannot complete evaluations on the athlete's behalf.

18 and over — independent
AthleteAdult athletes (18+) have full independent accounts. There is no parent access available for this age group. All account decisions — joining teams, completing evaluations, viewing feedback — belong entirely to the athlete.
Who sees what
A summary of who can see which parts of an athlete's data, by age group.
| Data | Under 13 | 13 to 18 | 18+ |
|---|---|---|---|
| Upcoming events | Parent | Athlete + parent (if linked) | Athlete only |
| Attendance / RSVP | Parent manages | Athlete manages | Athlete only |
| Pre-Eval and Post-Eval | Parent completes | Athlete completes | Athlete only |
| Coach Feedback | Parent sees | Athlete sees + parent (if linked) | Athlete only |
| Average score and history | Parent sees | Athlete sees | Athlete only |
| Team focus and framework | Parent sees | Athlete and parent (if linked) | Athlete only |
Coaches always have access to the data for athletes on their team — that is the foundation of the evaluation system. A coach can see all athlete scores, evaluation completion status, and feedback they have submitted.
Consent and data
When a parent creates an account for a child under 13, the parent holds the account and gives consent on the child's behalf, and can withdraw it. The email address used to sign up belongs to the parent, not the child. Where your club or school has brought its members onto SHOT, that organisation decides what is recorded about your child and SHOT handles it on their behalf; SHOT is responsible in its own right for your account itself. Ask us or your club for the data-processing terms and we will send them.
From 13, the athlete holds their own account, but it still needs a guardian to approve it. When a 13 to 17 year old signs up, a request goes to their guardian and the account is provisional until that approval arrives. If it has not arrived within 30 days, the account is cut off from the app. A parent link gives visibility; it is the approval itself that lets the account be used.
SHOT Clubhouse does not sell athlete data and does not share it with third parties for marketing or commercial purposes. Some features do send data to service providers in order to work: the written summary on a development report, the Alex assistant, and content moderation all use external AI providers, so evaluation scores, coach comments and an athlete name can be processed outside the app. They process it on our instructions and not for their own purposes. Ask us for the current list of providers and we will send it to you.
Removing a child's account
To remove a child's profile from a team, the coach can do so from the Active Athletes list on the team admin screen — tap the athlete's name and select the remove option.
If you need to go further than removing from a team — for example, requesting deletion of all data associated with the account — contact support directly.
