Safeguarding on SHOT Clubhouse

Access levels and data visibility on SHOT Clubhouse are determined by age. Under-13s are parent-managed. Teens from 13 to 18 have their own account with optional parent visibility. Adults have full independent access.

Age group overview

SHOT Clubhouse separates account access into three age groups. The rules below are how the platform is designed — they apply to all users regardless of individual club preferences.

Under 13

Parent-managed

The parent holds and controls the account. The child does not have their own login.

13 to 18

Shared access

The athlete has their own account. A parent can be linked to see events and feedback.

18+

Independent

Full independent access. No parent link available.

Under 13 — parent-managed

Parent

Athletes under 13 do not have their own SHOT Clubhouse login. The account belongs to the parent or guardian. All app activity — joining a team, completing evaluations, viewing coach feedback — happens through the parent's account.

How to set up an under-13 account

Download the app and create your own account
Use your own email address — not your child's. You are the account holder. The account is yours.

Receive the invite link from the coach
The coach should share the team invite link directly with you, not with your child. Tap the link while logged in to your account.

Enter your child's details
Add your child's name and information when prompted. Their profile is created and linked to your account.

Manage the account on their behalf
You can view upcoming events, confirm attendance, see the team focus, and view coach feedback when it is released — all from your account.
Self-evaluation for under-13s: Pre-Eval and Post-Eval can be completed by the parent on behalf of the child. Alternatively, the coach can disable self-evaluation entirely for an under-13 team from team settings. Coach Feedback from the coach is always available regardless of age group.

13 to 18 — shared access

Athlete Parent

Athletes aged 13 to 18 have their own SHOT Clubhouse account, with their own login. They join teams independently, complete their own evaluations, and view their own coach feedback.

A parent can be linked to the account to receive the same event notifications and view coach feedback — but the athlete retains control. The parent cannot complete evaluations on the athlete's behalf.

Setting up parent visibility for a 13–18 athlete

The athlete creates their own account
They sign up with their own email address and receive their own invite link from the coach.

Ask the coach to link the parent account
The coach or club admin can set up the parent link from the athlete's profile on the team admin screen. The parent receives a notification once linked.

The parent downloads the app and logs in (or signs up)
Once linked, the parent can see upcoming events and coach feedback. They cannot complete evaluations or change the athlete's account settings.
If you are not seeing coach feedback as a parent of a 13–18 athlete: Ask the coach to confirm the parent link is set up for that athlete on the team admin screen. Feedback visibility for this age group requires an active link.

18 and over — independent

Athlete

Adult athletes (18+) have full independent accounts. There is no parent access available for this age group. All account decisions — joining teams, completing evaluations, viewing feedback — belong entirely to the athlete.

Feedback from the Coach Feedback tab is visible to the athlete only. Coaches can also see the feedback they submitted, but no third-party access is available.

Who sees what

Coaches always have access to the data for athletes on their team — that is the foundation of the evaluation system. A coach can see all athlete scores, evaluation completion status, and feedback they have submitted.

Removing a child's account

To remove a child's profile from a team, the coach can do so from the Active Athletes list on the team admin screen — tap the athlete's name and select the remove option.

If you need to go further than removing from a team — for example, requesting deletion of all data associated with the account — contact support directly.

Remove from the team (coach)
Open the team admin screen, tap the athlete's name in Active Athletes, and remove them. This removes them from the team's squad and events going forward. Their evaluation history is retained on their Sport Head.

Request full account deletion (parent)
If you need the child's account and all associated data deleted from the platform entirely, contact support. Include the email address used to create the account and the child's name. The team handles data deletion requests directly.
Deletion is permanent. A full account deletion removes all evaluation history, scores, and team records associated with that Sport Head. This cannot be undone. If the child is returning to sport in the future, a new account will need to be created.
